1. Scope of This Policy


This Privacy Policy applies to personal information processed by Aviation Tax Logs through our website, mobile apps, support channels, administrator portal, messaging tools, shared cloud document features, and any related services made available to aircraft owners, operators, pilots, passengers, accountants, legal representatives, and business contacts. It covers information collected online and offline where this policy is provided or referenced.

This policy is intended to be written broadly enough to support compliance with widely used privacy and data protection standards, including U.S. state privacy requirements, the European Economic Area and United Kingdom privacy notice requirements, and generally accepted international data protection principles. Because privacy laws vary by jurisdiction and industry, this policy should be supplemented by internal procedures, contracts, and legal review where required.

Aviation Tax Logs is a digital platform designed to help customers create, organize, store, and share flight logs, Hobbs meter records, receipts, photographs, agreements, and related records. Aviation Tax Logs is operated by Manage My DSP LLC.

Business Aviation Law Group ("BALG") may be designated within the platform as an authorized administrator for specific customers or customer groups. Where a customer is referred by BALG, serviced by BALG, or affirmatively connected to BALG through the platform, BALG may be granted role-based administrative access to that customer's designated account information for legitimate service purposes, including viewing, adjusting, correcting, exporting, downloading, or helping interpret logs and related records, communicating with the customer, and assisting with tax, legal, accounting, audit, and documentation matters.

Depending on the circumstances, Aviation Tax Logs may act as the primary business or controller for the platform, while BALG may act either as an authorized administrator operating within the platform or as an independent controller/business for the separate legal, tax, accounting, and advisory services it provides. Where applicable law requires additional controller-to-controller terms, data processing terms, or customer authorizations, those terms may be provided separately.


3. Information We Collect


We may collect the following categories of information:

(a) Account and profile information, such as names, company names, aircraft owner or operator details, usernames, passwords, email addresses, phone numbers, billing details, account identifiers, support history, and preferences.

(b) Flight and log data, such as aircraft tail number, make and model, departure and arrival information, dates, flight purpose, pilots, passengers, initials, operational notes, Hobbs meter readings, beginning and ending photos, trip receipts, expense details, supporting documents, and tax log classifications.

(c) Communications and collaboration data, such as Work Chat messages, support requests, attachments, notes exchanged with administrators, cloud-shared documents, and records of email, push notification, and SMS interactions.

(d) Device, usage, and technical information, such as IP address, browser type, operating system, mobile device identifiers, app version, session logs, crash data, authentication events, clickstream information, and general analytics about how the service is used.

(e) Billing and transaction information, such as subscription plan, invoice history, payment status, partial payment details, and records returned by payment processors. We do not intentionally store full payment card numbers unless expressly stated and lawfully permitted; payment card processing is typically handled by third-party processors.

(f) Information provided by third parties, such as referrals from BALG, customer administrators, pilots, corporate representatives, connected users, payment processors, cloud storage providers, or other persons authorized to submit information on a customer's behalf.


4. How We Collect Information


We collect information directly from customers and their authorized users, automatically through use of the platform, from uploaded files and photographs, through communications with our team, from subscription or billing activity, and from authorized third parties such as BALG or other persons acting with customer authority. We may also infer limited information from usage patterns, such as whether a customer has completed onboarding, whether logs are missing required support, or whether documents may need review.


5. How We Use Personal Information


We use personal information as reasonably necessary to:

  • provide, operate, maintain, and improve Aviation Tax Logs;
  • create and manage user accounts and customer workspaces;
  • record, store, review, export, and share flight logs and related documentation;
  • enable onboarding, subscription management, billing, renewals, and payment administration;
  • permit designated administrators, including BALG for assigned customers, to review, correct, adjust, export, and download logs or supporting materials;
  • facilitate communication between customers and BALG administrators, including in-app messaging, shared cloud files, email, SMS, and push notifications;
  • provide customer service, training, technical support, and troubleshooting;
  • protect against fraud, abuse, unauthorized access, data loss, and security incidents;
  • comply with legal obligations, respond to lawful requests, preserve evidence, enforce our agreements, and defend rights or claims;
  • conduct analytics, performance monitoring, service diagnostics, audits, and product development; and
  • send service-related notices, legal updates, onboarding prompts, renewal reminders, and, where permitted by law, marketing or informational communications.

6. Legal Bases for Processing


Where laws such as the GDPR or UK GDPR apply, we process personal data based on one or more lawful bases, including: performance of a contract; taking steps at the data subject's request before entering into a contract; compliance with legal obligations; our legitimate interests in operating, securing, supporting, and improving the service; protection of vital interests where relevant; and consent where consent is required. Where we rely on consent, it may be withdrawn at any time, subject to lawful processing already undertaken and any processing that may continue on another lawful basis.


7. How We Share Information


We may share personal information with:

  • Business Aviation Law Group, when BALG is the designated administrator or advisor for the relevant customer accounts;
  • customer-authorized users, pilots, operators, owners, and company representatives;
  • service providers and vendors performing services for us, such as hosting, analytics, payment processing, communications delivery, cloud storage, identity verification, and customer support;
  • professional advisors, auditors, insurers, or financiers where reasonably necessary;
  • government authorities, regulators, courts, opposing parties, or law enforcement where required by law, legal process, or a good-faith belief that disclosure is necessary to protect rights, safety, property, or compliance;
  • counterparties in a merger, acquisition, financing, asset sale, reorganization, or similar transaction; and
  • other parties with the customer's direction, consent, or instruction.

We do not sell personal information for money. If any jurisdiction defines certain analytics, targeted advertising, or cross-context sharing activities as a "sale" or "sharing," we will honor legally required opt-out rights where applicable.


8. Administrator Access and Customer Controls


Where BALG is assigned to a customer account, BALG may have access to the customer's designated records for administrative and advisory purposes. Such access may include the ability to view logs, inspect uploaded photos, review Hobbs meter images, examine receipts and supporting documents, communicate with the customer, download spreadsheets or exports, and make corrections or adjustments when authorized or reasonably necessary to maintain accurate records.

Customers are responsible for ensuring that persons they authorize to use the platform, including pilots, employees, contractors, and advisors, have appropriate authority to submit information. Customers should promptly notify us if administrator permissions should be restricted, changed, or revoked. We may maintain audit trails of account access, edits, downloads, and other administrative actions.


9. International Transfers


Aviation Tax Logs may process or store information in the United States and in other countries where we or our service providers operate. Those countries may have privacy laws that differ from the laws of the country where an individual resides. Where required by applicable law, we will use appropriate safeguards for cross-border transfers, such as contractual commitments, standard contractual clauses, transfer impact measures, or other lawful transfer mechanisms. By using the service where permitted by law, users acknowledge that information may be transferred to and processed in jurisdictions outside their own.


10. Data Retention


We retain personal information for as long as reasonably necessary for the purposes described in this policy, including to provide services, maintain tax and audit support records, comply with legal and accounting obligations, resolve disputes, enforce agreements, preserve security logs, and establish or defend legal claims. Retention periods may vary depending on the type of information, the customer relationship, legal obligations, the sensitivity of the data, and operational needs. We may retain de-identified or aggregated information for longer periods where permitted by law.


11. Data Security


We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, destruction, loss, misuse, or alteration. Measures may include role-based permissions, authentication controls, encrypted transmission, secure hosting, restricted vendor access, activity logging, backups, incident response procedures, and periodic review of access privileges. No system is guaranteed to be completely secure, and users should also protect credentials, devices, and account access information.


12. Your Privacy Rights


Depending on where you live, you may have rights to request access to personal information, confirmation of processing, correction of inaccuracies, deletion, portability, restriction, objection, withdrawal of consent, appeal of certain decisions, or to opt out of the sale, sharing, profiling, or targeted advertising uses of your data.
